Job Purpose

Responsibilities will include:

  • Providing administrative support to one or more attorneys
  • Effectively communicating with clients
  • Preparing/completing legal documents and correspondence on instruction or on own initiative as required and ensuring the timely flow of documents between the Firm and clients, other law offices, the Courts and other relevant agencies or persons
Minimum Experience/Requirements:
  • Individual must have prior secretarial experience and/or training 
  • Must be proficient in Microsoft Office Suite applications
  • Prior experience working in a law firm would be an asset

LEGAL SECRETARY (Kingston, Jamaica)


Minimum Requirements (Please read carefully before applying):
  • At least 4-5 years’ experience in Conveyancing OR Commercial
  • practice 
  • Minimum of 5 GCE/CXC or equivalent, inclusive of English Language
  • Must possess Secretarial Diploma OR CPS/CPA Designation from a recognized institution
  • Working knowledge of Microsoft Office Suite
  • Certificate in Paralegal Training 
  • Must be efficient and detail-oriented with excellent organizational and 
  • communication skills both orally and in written format 
  • Must be able to use initiative and to undertake multiple assignments

  • Must possess excellent interpersonal skills

Job Description:

To provide paralegal and administrative support to the Attorneys in the firm.

Responsibilities:

Interfacing with Clients, the Parish Court Offices/Registries of the Supreme Court, the Stamp Office, the Titles Office and the Companies’ Office, drafting legal documents and correspondence.
 
Qualifications:

  • A minimum of five (5) years work experience in a law firm particularly in the areas of Estates, Real Estate Transactions, Divorces and Personal Injury.
  • A sound knowledge of the civil court procedure in the Parish
  • Courts and the Supreme Court.

Legal Secretary (Kingston, Jamaica) - National Housing Trust (Jamaica)

The National Housing Trust is seeking to identify a Legal Secretary for its Legal Conveyancing Department.

Main Duties:
The duties of the Legal Secretary include:
  • Preparing mortgages, transfers, pari passu agreements, agreements for sale, discharges of mortgage, consents and other legal documents
  • Preparing letters of undertaking and other correspondence 
  • Preparing monthly reports
  • Maintaining and updating relevant databases
  • Responding to internal and external queries in person, in writing or via telephone
  • Processing, delivering and retrieving files and documents from related departments, and
  • Managing the Legal Counsel's diary
Qualifications:

The Legal Secretary must have:
  • Paralegal certification
  • Certified Professional Secretary (CPS) designation
  • At least five (5) CXC or GCE O' Level subjects inclusive of English Language and Mathematics, and
  • At least two (2) years experience as a Legal Secretary


The following skills/competencies are required at above average levels:
  • Communication (oral and written)
  • Report writing
  • Records management
  • Proficiency in the use of Microsoft Office Suite applications
  • Interpersonal and customer relations
Knowledge of:
  • Conveyancing and other legal processes, and
  • NHT Act, policies and procedures
The following would be an asset:
  • Knowledge of accounting principles
The successful candidate will be required to maintain good working relations with public and private sector agencies such as financial institutions/NHT collecting agents

Paralegal/Legal Secretary (Kingston, Jamaica)

Core Functions:

Responsibilities will include assisting with the preparation and drafting of documents for filing in the Supreme Court of Jamaica and/or the several Resident Magistrates Courts througout the island; preparation of legal correspondence, documentation of clients, organizing logistics of legal materials and providing hands-on assistance and support to the team for all of their ongoing legal projects.

Suitable candidates should:
  • Have Bachelors degree in Management Studies or Business Administration
  • Associate degree in Paralegal Studies
  • Have a minimum of six (6) passes in CXC/GCE examinisations including English Language and Mathematics
  • Have a minimum of two (2) years working experiecne in the litigation department of a firm or otherlegal entity
  • Be well acquainted with the practices and procedures obtaining in the Supreme Court with respect to the preparation, filing and service of Court documents
  • Be able to prepare documentation in respect of personal injury claims
  • Be able to work in a busy and hectic environment
  • Be able to prioritize, work on own initiative and under a tight schedule
  • Have excellent writing and communication skills


Specialized Techniques/Knowledge:
  • Basic computer skills
  • The ability to analyse legal documents for accuracy
  • Completed paralegal training course
  • Experience/training in insuarance claims would be an asset
